Every booking in the programme can be recalculated. This chapter follows the path an order takes - from the amount through the factors to the day the points become redeemable.
The settings for this sit in the Earning points, Boosters, Points release and Cancellation sections of the configuration.
How the number of points arises
What the calculation is based on
The earn rate says how many points one euro of turnover brings - one, out of the box. Two further settings decide which amount is meant.
Calculation basis
the amount actually paid (default) or the original price before discounts
Shipping cost
does not count out of the box
Rounding
round down (default), round commercially or round up
Foreign currency
converted to the base currency using the exchange rate
The choice of basis is a question of stance: calculating on the amount paid is the cautious variant, because a discounted article then earns fewer points. Calculating on the original price rewards the purchase regardless of the promotion.
Boosters and loyalty tier
Two kinds of factor act on the base value: the customer's loyalty tier and every booster that applies to this order. Boosters come as a multiplier and as a fixed bonus; each has its own rule for the case where several apply at once.
In order:
Base value - amount times earn rate
Loyalty tier - the multiplier of the tier the customer held at booking time
Multiplier boosters - out of the box the highest one wins
Fixed-bonus boosters - out of the box they add up
Rounding - last, after every factor
Because the tier is recorded at booking time, a later promotion or drop does not change old bookings.
The calculation sits on every booking
In the administration a click on a booking opens the full calculation: the per line-item breakdown, the settings at booking time, the tier, the effective boosters and the total rollup step by step.
That is the difference between a number and a traceable number. If a customer asks why it was 137 points and not 140, the answer is right there - down to the raw data.
From pending to valid
Points start as an expectancy
With the order a booking is created in the state pending. It does not count towards the redeemable balance and is shown separately in the customer account.
Condition 1
the order reaches the configured state - default "Completed"
Condition 2
the minimum age has passed - default 14 days from the order date
Check
hourly, up to 250 bookings per run
Then
the booking turns valid and becomes redeemable
Both conditions have to be met. If you want no waiting time, set the minimum age to zero - the order state then decides on its own.
What a cancellation does
When an order reaches the cancellation state - default "Cancelled" - the still-pending points of that order fall away. If the points were already valid, a counter-booking is created instead.
The balance is never overwritten in the process. It is always the sum of all bookings, and every counter-booking stays visible in the point ledger - years later too.
Points without an order
Registration, newsletter confirmation and birthday bring points that hang on no order. They are therefore valid immediately and pass through no release. The same holds for a manual booking from the administration.
A manual booking always requires a reason. It stays with the booking and later answers the question where a balance came from that no order explains.
Guest orders do not collect
Points belong to a customer account. An order without an account has nobody to credit - it stays out.
A customer who creates an account later is not credited retroactively for their earlier guest orders.
Not out of the box. A setting adds them if you want the shipping share to earn points as well.
Is the calculation based on the discounted or the full price?
By default on the amount actually paid. Switched to the original price, a discounted article earns the same points as at full price.
When do pending points become valid?
When both apply: the order has reached the configured state - default "Completed" - and the minimum age has passed, 14 days by default. The check runs hourly.
Does climbing a tier change old bookings?
No. The loyalty tier is recorded at booking time. A later promotion or drop only affects new bookings.
How do I see how a number of points came about?
Through the booking in the administration. It shows the per line-item breakdown, the settings at booking time, the loyalty tier, the effective boosters and the total rollup step by step.
